How we manage Fresh Produce Supply
Coordinating, monitoring and reporting across every stage of the supply chain with full transparency when issues arise
Getting fresh produce from an international grower to a UK buyer involves multiple stages, multiple parties and multiple opportunities for things to go wrong. Here is how we manage the process and what happens when problems occur.
Fresh produce does not wait. From the moment it is harvested, the clock is running — and every stage of the supply chain from packing and export through to UK arrival and final delivery needs to be managed carefully, communicated clearly and executed without unnecessary delay.
The supply chain in full
What happens between the farm and the buyer
At Produce Market we manage the commercial and communication layer across every stage of that journey. We do not own the logistics — but we are actively involved in coordinating, monitoring and reporting on every shipment we handle, from origin through to delivery.
Origin
Product is harvested, packed and prepared for export by the grower to the agreed specification. We confirm readiness, check documentation and ensure the shipment is correctly prepared before it leaves origin.
Transit
Product moves from origin to the UK via air or sea freight depending on the product, the programme and the timeline. We monitor transit progress and keep buyers informed of expected arrival times throughout.
UK Arrival
On arrival in the UK product clears customs and is assessed for quality against the agreed specification. Any issues are identified at this stage, reported promptly and managed transparently with both the grower and the buyer.
Delivery
Product is delivered to the buyer at the agreed location and time. Final delivery condition is confirmed and any post-delivery quality observations are reported back through the supply chain.
Quality in fresh produce is not a single checkpoint — it is a continuous process that runs from packing at origin through to delivery at the buyer's door. We take an active role in quality management at every stage we can influence.
At origin we work with represented growers to ensure product is packed to the correct specification, graded accurately and prepared for export in a way that protects quality in transit. We are not physically present at origin for every shipment but we maintain close communication with growers throughout the packing and preparation process.
On arrival in the UK every shipment is assessed against the agreed specification. That assessment is documented, reported and communicated to both the grower and the buyer — clearly, promptly and honestly.
QUALITY CONTROL
How we manage quality across the supply chain
one
Pre-Shipment
We confirm specification, documentation and export readiness before product leaves origin. Growers receive clear guidance on what UK buyers require and what the shipment needs to meet before it travels.
two
On Arrival
Every shipment is assessed on arrival against the agreed specification. Quality findings are documented in full and reported to both the grower and the buyer without delay.
three
Post-Delivery
Buyer feedback on delivered product is captured, recorded and fed back to the grower. This creates a continuous improvement loop that raises quality standards over time.
WHEN THINGS GO WRONG
How we handle supply chain problems
In fresh produce, problems happen. Shipments are delayed. Quality falls short of specification. Volumes do not arrive as planned. The question is not whether problems will occur — it is how they are handled when they do.
Our approach is straightforward. We identify the issue, assess it fully and report it honestly to both the grower and the buyer. We do not minimise problems to protect a short-term relationship and we do not pass responsibility around to avoid accountability. We deal with it directly, transparently and in the interests of the long-term supply relationship.
one
Identify
Issues are identified as early as possible — ideally before product leaves origin, always by the time it arrives in the UK. Early identification gives everyone more options for resolution.
two
Assess
Every issue is assessed fully and documented clearly. The buyer receives an honest account of what has happened and the grower receives an equally honest report on how their product has performed.
THREE
Resolve
We work with both sides to find a resolution that is fair and commercially appropriate. That might mean a pricing adjustment, a replacement shipment or another agreed outcome — but it is always handled transparently.
FOUR
Report
Every issue and its resolution is reported back through the supply chain. Growers receive full feedback so that the same problem does not recur in future shipments.
COMMUNICATION
Clear communication at every stage of supply
One of the most common frustrations in fresh produce supply is poor communication — buyers who do not know when their product is arriving, growers who do not know how their product has performed and issues that escalate because nobody picked up the phone early enough.
We take communication seriously. Buyers are kept informed of shipment progress, expected arrival times and any developments that affect their supply. Growers receive regular updates on UK market conditions, buyer feedback and the performance of their product in the market.
For Buyers
You will always know where your product is, when it is arriving and what condition it is in. We communicate proactively — not just when something goes wrong but throughout the supply process as standard.
For Growers
You will always know how your product is performing in the UK market. Sales progress, quality feedback, buyer observations and market conditions are all reported back to you regularly and honestly
Issue Communication
When an issue arises we communicate it immediately to the relevant parties. No delays, no minimising, no waiting to see if it resolves itself. Early, honest communication is always the right approach.
Supply chain management that works
A logistics approach built around accountability
We are not a logistics company and we do not pretend to be. What we are is a commercial partner that takes active responsibility for the supply chain we manage — coordinating, monitoring, reporting and resolving issues at every stage with the same transparency and discipline we apply to every other part of our business.
For growers that means confidence that their product is being handled professionally from the moment it leaves origin. For buyers it means reliable supply, honest communication and a partner who is accountable for the quality and consistency of what they receive.

Logistics & Supply Chain FAQs
Answers to common questions about how Produce Market manages fresh produce from origin to UK delivery, covering quality control, transit management, issue resolution and communication at every stage.
Do you manage the physical logistics of shipping?
How We WorkWe manage the commercial and communication layer of the supply chain rather than the physical logistics. We work with established freight and logistics partners for the movement of product and focus our direct involvement on coordination, quality oversight, communication and issue resolution at every stage.
How do you handle quality assessment on arrival?
Get in TouchEvery shipment is assessed on arrival in the UK against the agreed specification. Findings are documented in full and reported to both the grower and the buyer promptly and honestly. Where issues are identified we move immediately into our issue resolution process.
What happens if a shipment is delayed in transit?
Contact UsWe monitor transit progress actively and communicate any delays to buyers as soon as they become apparent. We work with logistics partners to minimise delays where possible and keep all parties informed throughout.
How do you keep buyers informed about their supply?
Learn MoreBuyers receive proactive communication throughout the supply process — from shipment confirmation at origin through to arrival notification and delivery confirmation. We do not wait for buyers to chase us for updates.
Can you manage supply chain requirements for programmed supply?
Discuss a ProgrammeYes. Programmed supply relationships have a more structured logistics framework with agreed shipment schedules, volume planning and forward communication built in from the outset. This makes the logistics management process more predictable and efficient for both sides.
What freight options do you work with?
Get in TouchWe work with both air and sea freight depending on the product, the programme and the timeline requirements. Air freight suits short shelf life products and urgent supply needs. Sea freight suits higher volume, longer shelf life products where transit time is less critical.
How do you manage supply chain issues for direct trading versus representation?
How We WorkThe same quality and communication standards apply across all three of our sourcing models. Whether we are representing a grower, managing commission sales or trading directly, the approach to quality oversight, issue identification and transparent reporting remains consistent throughout.
